This privacy statement explains which personal data we process when you request a quote or send a message, for what purpose, by whom and for how long.
This is an English translation for convenience; the Dutch text prevails.
Kuyper Graveertechniek processes personal data when you request a quote or send us a message through this website. We attach great importance to handling personal data with care, and we process and secure it carefully.
Kuyper Graveertechniek B.V., Radmakerstraat 18, 5375 CC Reek (KvK 96863757), is the controller for the data processing. This privacy statement explains which personal data we collect and for what purpose we use it. If you have questions, you can contact us.
1. Conditions for processing personal data
In processing personal data we comply with the requirements of privacy legislation. This means that we:
- state clearly for which purposes we process personal data (see below);
- limit the collection of personal data to data that is necessary for legitimate purposes;
- ask for your explicit consent to process your personal data where that is required;
- take appropriate security measures and require the same of parties that process personal data on our behalf, recorded in a data processing agreement where necessary;
- give you access to your personal data at any time and correct or delete it at your request.
2. Use of personal data
When you use our website, we process certain data about you. We store and use only the personal data that you provide yourself, in connection with the service you request, such as requesting a quote.
2.1 Registration
You cannot create an account on our website. No passwords or account data are stored.
2.2 Requesting a quote
When you request a quote through the quote list, we ask for the following data:
- company name;
- name;
- email address;
- telephone number;
- address;
- your message or description of the custom work;
- attachments that you add, such as drawings, examples and completed templates;
- the products and options in your quote list, with quantities.
We use this data to answer your request and send you a quote. If you accept the quote, we also use your data to carry out and deliver the order and to invoice you. You receive a copy of your request at the email address you provided.
2.3 Use of the contact form
You can send us a message through the contact form. You decide which data you provide. We ask for your name, company, email address and message; a telephone number is optional. Your message is sent to us by email and kept by us as business correspondence. We do not store the data in a database on the website.
2.4 Protection of the forms against misuse
To prevent our forms from being misused for spam, we use Cloudflare Turnstile. Turnstile checks in the background whether a visitor is a human. To do so, Cloudflare processes technical data from your visit, such as your IP address and characteristics of your browser and device. Cloudflare uses this data only for this check and not for advertising.
We also limit the number of requests per IP address. For this, our server keeps your IP address only in an unrecognisable form (as an encrypted hash) and for no longer than one day. To prevent the form from being misused to send emails to others, we keep an unrecognisable version of the email address that receives the copy of a request in the same way, also for no longer than one day.
If a request cannot be sent, we keep the time, company name, number of products and your email address in an error log, so that we can contact you. This log is deleted after thirty days.
3. Advertising
We do not send newsletters or other advertising by email. We use your data only for your request and for carrying out an order.
4. Publication
No data about you is published when you use our website.
5. Disclosure to third parties
We engage other parties to process your data. Insofar as they process data for our services, they do so as processors and we have made agreements with them. These are:
- Resend: sends the emails containing your quote request or message, and the copy you receive;
- Cloudflare (Turnstile): protects the forms against spam;
- Hostinger: hosts the website;
- Microsoft 365: receives and stores our business email, including your request.
Data processing agreements apply with these parties under their standard terms. Resend, Cloudflare and Microsoft are (part of) US companies, so data may be processed outside the European Economic Area. This happens only with appropriate safeguards: certification under the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.
Insofar as other parties determine the purposes and means of the processing themselves, they do so as controllers. We are not responsible for that processing and this privacy statement does not apply to it. We do not otherwise disclose your data to third parties, unless this is necessary to perform an agreement with you or is required by law.
7. Analysis of website use
We do not use analytics tools and do not measure how visitors use the website. If we do so in the future, we will amend this statement.
8. Security
We take careful security measures to limit misuse of and unauthorised access to personal data. These measures are part of our processes and are reviewed periodically.
9. Retention periods
We keep your quote request and related emails as business correspondence for as long as necessary to handle your request and order, including any warranty claims or complaints. After that the data is deleted, unless a legal obligation requires longer retention, such as the seven-year tax retention obligation for invoice data. If a request or message does not lead to an order, we keep the correspondence for two years, so that we can look back if you ask again. After that we delete it. The website itself does not store requests or messages in a database.
10. Third-party websites
Our website may contain links to websites of other parties, or other websites may link to us. We are not responsible for the processing of your data through those websites and this privacy statement does not apply to it.
11. Changes to this privacy statement
We reserve the right to make changes to this privacy statement. The date at the top shows when the text was last amended.
12. Access, correction and deletion of your data
Because you do not have an account, you can email us to ask for access to your data, for correction or deletion, for restriction of the processing, or to object to the processing. You can also ask us to transfer your data. Email info@kuyper-graveertechniek.com. We respond within one month. If a request is complex or we receive many requests, this period can be extended by two months; we will tell you so within one month.
